Microfilm to Document Imaging
in One Easy Step

This large, busy medical group was planning a move to an electronic medical records (EMR) system, and wanted to match the technology for its archived patient records.

The old system of microfilm was cumbersome and slow, the quality of printed output from the film was marginal and of course, only one person at a time could access the information on a single piece of aging equipment. Also, with the high volume of new patients (more than 100/week), they were rapidly running out of file space. Technology upgrades have been a major focus at Wilmington Orthopaedic in the last two years, with a PC on every desk, laptops for all of the doctors, use of digital dictaphone with transcription via the Internet so document imaging was a natural tie-in for greater efficiency.

The practice's Administrator, Reuben Allen III and Business Office Manager, Kim Garnette knew that converting the backfile records was the first step toward the successful implementation of an EMR system. JHS Document Imaging's experience in the medical and pharmaceutical industries and their commitment to quality, security and confidentiality were important factors in the decision to outsource the services.

The biggest impact of having the files imaged has been a significant savings in the time required to access patient files, and to match new EMR files with historical records. Having the archived records on a CD has also improved the turnaround time for processing 15-20 requests per day for copies of medical records from attorneys and insurance companies. The quality of the output from the imaged files is far superior to that from the microfilmed files, so it better reflects the quality of this progressive practice.

As the practice grows both in numbers and in additional locations, the ability to share the files over a network or by email will be even more important.
